The primary challenge they faced was needing to move off Salesforce in just 4 weeks before their licenses expired or renewed. “We decided not to renew with Salesforce and migrate our CRM from Salesforce to Microsoft Dynamics 365,” said Steven Schain, Director of Business Intelligence at Cooler Screens. “We needed to create a workflow to capture advertiser records, campaign opportunities, customer billing, contacts, creating reporting dashboards, and advertiser activities.”

THE APPROACH
Discovery, configuration, and migration
During Discovery, Root16 dug deeper into the team’s pain points. With Salesforce, Cooler Screens didn’t have relationships set up between their Account records and they weren’t storing brand data in a consistent way. Root16 architected a new Account hierarchy so Cooler Screens could like their Advertiser Accounts to the proper brand names and agencies associated with a given Account.
Changing the structure made it easier for reporting and allowed the Cooler Screens sales team to filter down the agencies and brands when creating a new opportunity record. Schain described working with Root16 like, “adding an extra strategy partner to your team.”

Automating processes to enhance visibility and increase efficiency
After the initial go-live, Root16 focused on streamlining several manual workarounds. In Salesforce, the sales team leader would have to look up SKUs, find pricing, and manually calculate totals when they created orders for advertisers (internally known as Insertion Orders or “IO”). This manual process could easily take someone half a day to complete one IO. And, after the IO was created, it still needed to be reviewed by finance, sent to the customer, and signed. Within just a few short weeks, Cooler Screens drastically changed how their team worked.
