As an instrument for managing and streamlining all processes involving HR files, Macros ePAkt decisively improves the quality of HR work. The centrally stored information and comprehensive research and workflow functions relieve HR staff of routine and filing tasks.

In conjunction with personnel management systems such as SAP HCM, compliance with legal and organisational operating requirements is assured. The integration allows context-sensitive access to the corresponding file contents at any time. Roles and authorisations to access files or file contents protect the sensitive data. Processes in human resources management become more secure, intuitive, and efficient.

Macros ePAkt details

Just like a normal paper file, with Macros ePAkt you can file the contents for a personnel file centrally. The Macros ePAkt design has intentionally been based on its paper-based predecessor: tabs can be created for easier navigation and the initial basic information is communicated directly via the file cover.

The thumbnail view, which shows all file contents in small images, helps the employee in quickly finding the information. Extensive searches – full-text search, search by criteria or combined – facilitate research.

Drag&Drop to move the contents and right-click to open context/function menus enable intuitive operation.

The design of the HR files complies with the regulations of the corresponding department. Which tabs are required or whether there is to be a subdivision into accounting and HR tabs is something you, as a customer, can determine.

Paper documents or current personnel issues or existing HR files (old files) are scanned and stored in Macros ePAkt such that they cannot be altered.

The direct filing of documents available electronically (e.g. from MS Office, e-mail systems, etc.) is just as natural as the storage of personnel data and the filing of documents from leading HR systems (for example, from payroll systems). HR staff benefit from the user friendliness, the adaptability and the high scope of function offered by Macros ePAkt.

Macros ePAkt makes work methods more intuitive and, therefore, more efficient. Experience has shown that training expenditure is generally very low. Prevention of access to data by third parties is ensured by a comprehensive system of access rights that protects the files or their partial contents.

Roles and rights provide protection at the following levels:

  • File rights: e.g. position, department, VIP file, special case
  • Tab rights/folder rights: personal matters, absences, contract
  • Document types: such as cancellation, illness, warnings
  • Client functions: such as delete, write to file, add document

Furthermore, all data are encrypted.

The right of the employee to view their HR file is generally granted via a temporary file release. Adherence to legal retention periods and internal company regulations is automated and supported by Macros ePAkt.

The HR department can quickly set up, modify and/or save common processes as a template for workflows and checklists. This provides HR staff with, for example, checklists for new employees or for the application process.
