SUMMARY
A leading leasing company embarked on the migration of its existing Enterprise Resource Planning (ERP) system from Charisma (TotalSoft) to a new, custom-developed solution designed to better meet its operational needs. The project aimed to go live by the end of December 2023, requiring a thorough review of existing processes, alignment on future requirements, and effective vendor management. Recognising the complexity of the transition, the Client sought external assistance to support business analysis, project management, and testing activities. Avantage Reply provided comprehensive support throughout the migration lifecycle, from scoping workshops and process reviews to test strategy development and execution. 

CUSTOMER GOALS
The Client aimed to replace its existing ERP system with a new, tailor-made solution to improve operational efficiency and better support its evolving business processes. Their goal was to successfully migrate from the legacy Charisma system while ensuring business continuity, improved process design, and effective adoption of the new solution by business and IT users.

CHALLENGES
The Client faced several challenges inherent to large-scale ERP migrations. These included the need to carefully analyse and document complex existing (“as-is”) processes, design improved future (“to-be”) processes aligned with business objectives, and manage requirements from an external vendor. The timeline—from May 2022 workshops to a December 2023 go-live—demanded disciplined project management, strong vendor coordination, and thorough testing to minimise risks of operational disruption. Additionally, ensuring alignment among diverse business and IT stakeholders was essential to the project's success.

SOLUTION
Avantage Reply delivered end-to-end support across the project lifecycle. This included assisting the Client in preparing and conducting scoping workshops with the vendor to establish a shared understanding of objectives and requirements. Consultants worked with Client teams to review and document existing processes and define optimised future-state processes. Avantage Reply also supported the review and validation of business requirements proposed by the external vendor, ensuring alignment with operational needs. To secure a robust rollout, the team developed the test strategy and test materials, executed application testing, and provided ongoing support to business and IT users. In parallel, Avantage Reply reinforced the Client’s project management and steering processes, helping maintain project discipline, mitigate risks, and ensure on-time delivery.
