Macros eWorkplace is an ECM Suite from Macros Reply. You benefit from comprehensive digitisation and optimisation of the complete document cycle – from omnichannel inbox to outbox, from customer request to response. The modules from Macros eWorkplace consist of Macros products and partner products that Macros’ regards as the most suitable. Based on your needs, the single modules can be combined individually for your system landscape.

1. Incoming Mail/Scanning

With Macros eScan or other scanning products, you digitise incoming paper documents.

FTAPI is the Macros Business Partner for a secure and omnichannel communication within the company and with your customers.

2. OCR/ICR Recognition, Classification, Indexing

At high input volumes, OCR/ICR software like smart FIX from Insiders Technologies assists you with the fully automatic detection and indexing of documents. With lower input volumes, you can rely on the semi-automatic version Macros eIndex.

3. Archiving

With Macros eConnect you can integrate all the common archive and storage systems into your system landscape. All stored documents are available to users via a unified interface. Legal and company-specific requirements for security, privacy and retention periods all receive the necessary attention.

4. Distribution

The digitized, tagged documents are now ready to be sent to the right employee. With Macros eDistribute, the departments or divisions independently determine how, when and according to which criteria the documents are automatically distributed to team or individual mailboxes. The department itself defines and administers its distribution rules and criteria. The information extracted from the documents is used in the distribution to the same extent as the data pertaining to the employee (department, skill level, working hours, holidays, etc.). For processes that require no manual editing, the documents can be processed completely automatically (“dark processing”).

5. Processing with electronic mailboxes, files and robotics for an frontoffice automation

  • Macros eMailbox:
    The employee can see, at a glance, the incoming documents, follow-up items and tasks bundled into one in the Macros eMailbox. This is where the information from all relevant incoming channels and systems come together – including messages and data from inventory and specialist systems. The mailboxes are structured according to the company and process organisation. Topic, procedure, group or employee mailboxes are configured to best meet the requirements of the department. The hub is the mailbox – the basis for further processing: should the procedure be approved, released, rejected, forwarded or edited? Or is it sufficient to store it in the file? In order to reach this decision, the employee must get afull overview of the transaction, the customer or, generally, of the peripheral conditions – preferably quickly and easily.
  • Macros eFile:
    This is exactly what Macros eFile was to provide the employee with all the information necessary for processing the transaction in one place – from input channels, data already stored in the file and information from inventory and specialist systems. The file design follows the proven file structure. The file cover displays all the necessary, main information. At the same time documents, open transactions and to-dos belonging to the file are displayed. The essential advantage of these miniature views: the employee does not have to look for the necessary document page. The visual structure of the document alone tells the employee which page is to be checked. Coloured markings show the employee immediately which pages have already been checked by colleagues and shows the decisive documents in a file. Processing is completely documented and entered in a history. This history provides information on the work procedure and serves as a basis for the calculation of processing times and optimisation possibilities.

  • THE IDEAL COMBINATION: eMailbox and eFile:
    With the file tab technology, the inbox and several files can be opened parallel in one interface. This gives the employee the chance to process a transaction file, a customer file and the mailbox at the same time. Relevant data are displayed in seconds – in the mailbox as well as in the corresponding files. Information can be provided quickly and correctly. Employees receive improved information possibilities. You can see at a glance all communication with the customer, including all accompanying documents, and can provide precise, detailed replies to inquiries. Processes performed are transparent and quantifiable, breaks in media are avoided and work productivity increased considerably. Due to the variety of file and document functions the processing of transactions is made considerably easier. Follow-up items, checklists and forwarded items simplify collaboration between employees and/or departments, making processes even more efficient.
  • Automation of process steps with Robotic Process Automation:
    RPA helps your clerk to complete their easy and undemanding tasks that don't require any human work. The clerk starts the Robot by a special trigger (eg. a special button) and lets the robot overtake process steps. The robot (UiPath Platform) works intereactively with the clerk and gives time for more important task.
  • Macros eWorkflow & eChecklist:
    With Macros eWorkflow you can create parallel, sequential or combined work processes for collaborative execution of tasks – easily and without assistance from the IT department. In the templates, you can include explanatory documents and Macros eChecklists that detail sub-tasks in more detail. As with eWorkflows, the eChecklists can be independently compiled, set as templates and authorised for specific groups of people.
  • Macros eHost & eXtensions
    Macros eHost and Macros eXtensions are connectors from the Macros eBridge adapter suite. With Macros eXtensions, you integrate office and email systems into Macros eWorkplace so you can work intuitively and store documents. Macros eHost is used to connect your host system, specialist system or core system. Via this seamless integration, Macros is able to switch in a context-sensitive way from the client to the specialist system (or vice versa) and can directly open the right screen.
  • Macros eArchiveprinter:
    With Macros eArchiveprinter, you have the ability to store documents from any system that offers a print menu. It thus represents the simplest and also the most convincing way to archive your information. Of course, can you also tag the documents via an indexing screen for your system.
  • 6. Text & Output Management

    If further correspondence with the customer is needed, then the case handler can use Macros eMax to send letters, faxes and emails directly from within the inbox or the filing system. In addition to this individual correspondence within Macros eWorkplace, Macros Reply offers another instrument: With Macros ePrint for text and output management, individual and mass correspondence can be sent automatically or manually via a wide range of channels. For this you can easily connect one of our partner systems or your existing text and output management system.

    7. Reporting & Monitoring

    Macros eStatistics creates reports for every step of document circulation and in addition for all included components and systems (Macros eNform, smart FIX, etc.). It also enables comprehensive monitoring. The “little brother” Macros eReport takes care of the analysis of topics within the Macros Client (e.g. waiting times of documents in the inbox). Our Big Data experts have opened up the possibility for you and your company to use previously untapped data potential.
