Scenario

Spaghetti Gastro Group is a family-run holding company that oversees more than 25 restaurants, bars, and pubs in the Canton of Ticino, representing one of the largest players in the sector in terms of the number of establishments in Italian-speaking Switzerland.

As the group expanded and the number of operating companies increased, the complexity in managing daily processes also grew. On one hand, the group needed to efficiently coordinate restaurant operations; on the other, it had to address the administrative and financial requirements typical of a multi-company organization seeking to centrally manage costs and performance.

In this context, the objective was not simply to “digitalize,” but to establish a unique and reliable foundation to connect what happens at the points of sale to the economic numbers. The aim was to reduce repetitive activities by automating processes, increase traceability and enable more timely control over the margin, allowing faster and more consistent operational decisions aligned with expected results.

Challenge

The group operated with processes that were no longer suitable for centralized and scalable management, resulting in operational inefficiencies. In particular, the following critical issues emerged:

  • Fragmented accounting across multiple tools: several systems were used to manage key flows (invoicing, payments, operations), leading to misalignments and manual processing.

  • Unstructured and poorly traceable procurement: there was no single, streamlined process for restaurant operators, limiting the ability to maintain centralized oversight.

  • Limited and untimely data avaiability: the lack of accurate information made it difficult to support timely managerial decisions and address potential business criticalities.

  • Limited integrations with cash systems: integrations were restricted to the management of daily reports, making the structured collection of sales data and receipts more complex.

Solution

Air Reply supported Spaghetti Gastro Group in the implementation of Oracle NetSuite, adopted as a cloud ERP platform to unify operational and accounting processes in a single digital environment, reducing manual activities and increasing consistency between field operations and administrative records.

Digital innovation for the restaurant sector

Air Reply supported Spaghetti Gastro Group in achieving centralized control over operations by developing digital solutions tailored to the specific needs of the restaurant sector and the company's operational processes.

Management of purchase orders via mobile app

To reduce inventory levels and strengthen the operational autonomy of individual restaurants, an integrated mobile solution connected to Oracle NetSuite has been implemented.

Thhrough customized user accounts and the use of a dedicated mobile app, staff can directly submit purchase requests for their restaurant with orders automatically sent to suppliers via email.

This approach enables restaurant to maintain control over their local requierements while optimizing stock levels and improving operational efficiency. At the same time, it ensures more reliable data and more structured purchasing processes.

AI for cash register system integration

The solution was designed to make sales data available in NetSuite and to integrate cash register systems with the ERP, overcoming the complexity resulting from the presence of multiple heterogeneous systems and avoiding the need for costly standard API connections.

To achieve this, an artificial intelligence-based tool was developed to automatically process sales reports generated by the cash register systems. The AI analyzes the documents, extracts relevant information, and converts unstructured data into structured accounting data ready for automatic import into NetSuite.

This approach symplifies system integrations and enables a scalable architecture capable of managing three different cash register systems, ensuring a reliable and fully automated data flow.

Centralized warehouse management

Among the upcoming project developments, the introduction of a centralized warehouse management system is planned, aimed at providing a unified view of inventory movements across all restaurants. This will enable centralized procurement processes and precise, real-time control of available quantities.

The solution will optimize purchasing, reduce waste and improve inventory management, ensuring greater operational efficiency and full visibility across the entire supply chain.
